RE: Suffolk County Recordings

Suffolk County has joined the growing number of County Clerks that will not accept for filing any document with:

  • social security number,
  • date of birth
  • other personally identifiable information

As stated in the attached memo from the Acting Suffolk County Clerk, there is presently legislation pending in both houses of the state legislature to restrict the use of the above from being used in a document.  This legislation is being monitored by Stewart.

The Suffolk County Clerk's Office currently utilizes imaging technology for the storage and access of land records, Since these records must be, by law, available for public viewing, we strongly urge you to comply with the following:

Documents presented for filing/recording with the Suffolk County Clerk should not contain:

1)   social security numbers;

2)      dates of birth;

3)      any personally identifiable information.

Recently, New York State legislation has been introduced to prohibit the filing of documents that contain personally identifiable information. The proposed law may include the imposition of fines for including information not required to meet our recording mandates

On behalf of the 15 million residents of Suffolk County, I appreciate your assistance in helping to protect the integrity of these vital records.
